JD For Administration Executive


(Facilities Management)


Monitoring of day-to-day power consumption reducing the consumption wherever Possible in the site.


Attending to the complaints and sorting out the problems in DG, UPS, A/C, Elevators and Panels.


Operations and Maintenance of PAC Units in server rooms and Data Centers.


Operations and Maintenance of Split, Package, Ceiling Suspended Units & FCUs AC.


Electrical Domestic and Industrial Wiring.


Preparation and Maintenance of Facility Reports according to the standards.


Maintenance of Lighting, Fire control system Access control systems,


Smoke Detectors and CCTV.


To provide necessary supports and assistance to the AMC vendors during breakdown and shut down activities.


Assisting and maintaining vendor related activities, and ensure all safety measures are adhered to.


Maintaining and laisioning with Statuary department.


Creating & Maintaining the Check list for the Technical Team.


Tracking the monthly Expenses of the facility.


Taking care of soft services in the facility.


Vendor Management and processing of bills.


Preparing and releasing of all AMC contracts for all critical equipments in facilities.


Preparation of 52 Week Schedule for all major equipements.and executing the same as per the schedule with available resource and Vendors.


Monitoring of Plumbing and carpentry works in facilities.


Maintaining of all Critical Equipments with Minimum Break Down.


(Administration)


Physical Security Management:


Tracking of Incoming and Out Going Material.


Tracking of Incoming and Outgoing Manpower Traffic.


Implementing strict Frisking polices to avoid any loss of Organization Asset.


Framing of Security polices according to the location and Implementation of the same.


Tracking the performance of security agency on real time basis on regular Intervals.


Tracking and Updation of all registers and documents maintained by the security Team.


Selection and Scrutinizing of the Agencies and finalizing of contracts.


Vendor and Supply Chain Management:


Getting the Quotes for the vendor for required Task.


Ratifying the quotes to get the best rates from the market.


Negotiating the price for getting the best price without affecting the Quality.


Tracking the quality of services from the vendors.


Selection of appropriate vendors for the particular Tasks.


To track the invoice and the payment status for the same.


Capable of Creating a strong Vendor Base.


Finalizing of vendors and getting the Legal contract Completed.


General Administration:


Taking care of the branch activities related to GAFM.


To overlook and manage the activities of the Admin Executives.


Providing the stationery for all the process and Departments as per the request after necessary approvals.


Travel arrangements for Clients, Guests and visitors and Guests If any.


Hotel booking for the Clients, Guest and Visitors If any.


Providing Beverages to employees like Coffee and Tea.


Soft Services Management:


Preparation of checklist and to keep a track on the HK department.


To monitor the consumption of House Keeping Consumables.


Ability frame sop and the process for cleaning different surfaces in the facilities.


Educate the HK staff to ensure the hygienic conditions are kept always.


Ability to guide the team to perform better.
